HR wants evidence after training. Can your team produce it?
Agree the evidence before delivery, so the closing report answers the corporate buyer’s actual questions.
The course is over, the attendance sheet is complete and the feedback looks positive. Then HR asks what employees learned and whether they use it at work. Your team cannot answer those questions from attendance and satisfaction scores alone.
A useful post-training report begins with an agreement about what will be measured, how it will be collected and when it will be reported. For a training agency, the sales team, operations staff, external trainer and corporate client may each hold part of that evidence.
Separate four different questions
- Attendance: Who participated, and what completion rule was used?
- Satisfaction: What did participants say about the experience? State how many responded.
- Learning: What knowledge or skill was assessed, using which questions or rubric?
- Workplace application: What was checked after the course, by whom and over what period?
These measures answer different questions. Attendance does not establish learning, and an assessment does not establish later application. Where business outcomes are discussed, explain the evidence and other factors that could affect them. CIPD’s learning evaluation guidance covers evaluation, impact and transfer.
Agree the reporting plan before delivery
- Ask what decision the report supports. Is HR checking completion, planning further development or reviewing a particular skill?
- Define the measures. Agree assessment criteria, any starting-point measure, collection methods and reporting dates. Have the subject expert review questions and scoring.
- Assign collection responsibilities. Name who records attendance, reviews assessment results and follows up with the client or participants.
- Check access and data handling. Agree which results are shared, with whom, and how long the records are retained. Avoid collecting personal information that is unnecessary for the agreed purpose.
- Review the report. State missing responses, incomplete follow-up and limitations alongside the results. Confirm recipients before sharing.
What TrainFoundry can build
We can build attendance records, assessment and feedback forms, report templates, client access and follow-up reminders using approved measures. Your team verifies the records; your trainers approve the assessment design; the client supports any agreed workplace follow-up.
The systems organise evidence. They do not independently validate an assessment, establish causation, guarantee learning outcomes or secure funding approval.
Check that the report tells the truth
Test the report with clearly fictional records that include missing feedback and an unfinished follow-up. Confirm that missing evidence remains visible and is not converted into a positive result. Check totals against the underlying records and confirm access restrictions.
Record the reporting agreement in the sales-to-delivery handover so everyone knows what must be collected before the course begins.
