Training providers & agencies · Malaysia
The client said yes. Does your operations team know what was promised?
Turn an accepted proposal into a course run with an agreed brief, named owners and visible changes.
Sales confirms the booking. Operations starts arranging the course. Then the trainer asks which outline was accepted, the client expects an extra report and nobody can find the final participant count. Each person may have done their part, but the agreement did not travel with the work.
Training providers and agencies that market external trainers need a handover record linking the accepted brief to the people preparing and delivering the course. This matters whether one person covers both roles or a team of twenty shares the work.
Make the accepted version the starting point
Link the approved quotation and programme outline to a course-run record. Record the client contact, dates, delivery format, location or platform, participant group, trainer, agreed fees and operations owner. Include any customisation, reporting promise or unresolved dependency.
Separate a proposed trainer from a confirmed assignment. A scheduling record can flag an overlap, but your team still confirms availability and resolves conflicts with the trainer and client.
Give each handover a clear sequence
- Sales completes the brief. Attach the accepted documents and identify any promise made outside the original proposal.
- Operations reviews readiness. Check venue or platform arrangements, participant information, materials, accessibility requirements and deadlines. Return missing information to a named person.
- The trainer confirms the delivery brief. Share the approved objectives, participant context, activities and reporting requirements using the agreed access rules.
- Owners work from a course checklist. Assign joining instructions, registrations, materials and other tasks with dates. Record completion rather than assuming a forwarded message was acted on.
- Changes are recorded and approved. When dates, scope or fees change, update the course record and identify who must confirm the revision.
What TrainFoundry can build
The Training Provider offer can include a sales and proposal workspace, external trainer directory, scheduling checks, handover record, course checklist and team dashboard. These components can connect the client agreement with course administration instead of relying on separate copies.
Your team still confirms bookings, negotiates trainer terms, approves changes and performs the administration. Integrations, permissions, notifications and user limits are agreed in the project scope. A task marked complete is a record of an action, not proof of delivery quality.
Test the exception as well as the normal path
Walk through a fictional accepted booking, then change its trainer or date. Check that the correct version is visible, the responsible person can see the unresolved tasks and the agreed recipients receive only the information they need. Confirm how the system records the change and who approves it.
Include reporting requirements in the handover rather than waiting until the course ends. Read what an HR-ready post-training report needs.
